Junior Training Administrator

The vacancy is open to applicants with a minimum of 2 years’ work experience. Applicants are not required to have relevant prior experience; however some understanding of skills development processes will be beneficial. The applicant will take on minor responsibilities and be trained to ultimately achieve competence in the following areas:

 

Basic roles & responsibilities:

 

  1. Payroll
  • Compiling Time & Attendance registers and signatures for the finance department
  • Track and record replacement & changes of students
  • Provide clients with feedback pertaining their students for client payroll
  • Oversee and assist with payroll queries

 

  1. Recruitment
  • Track the replacement of terminated learners and co-ordinate with the recruiter to implement the best possible learner for the vacancy
  • Quality check all applicant documentation

 

  1. Administration

 

  • Ensure the learner data is always accurate and up to date
  • Compile learner packs and implement document storage practices
  • Ensure client folders are up to date and that all relevant documents are uploaded and complete
  • Co-ordinate verification packs to ensure all documents are available and correct for audits

 

  1. Printing & Shipments

 

  • Print and compile learner packs and related training documentation
  • Co-ordinate shipping of documents
  • Administrate replacement of learners and co-ordinate printing and shipping of required documents

 

  1. Registrations

 

  • Ensuring registration of learners with the relevant SETA’s and on company systems

 

  1. Documents for grants

 

  • Provide documents required for Grants to the relevant departments
  • Maintain records of learner progress throughout the learning lifecycle

 

  1. Collecting data from Outsourced Skills Providers

 

  • Administration of document packs
  • Administration of schedules
  • Co-ordinating learner schedules with outsourced providers
  • Managing of queries and issues that arise
  • Co-ordinating and administration of registers and reports

 

  1. Learner Management

 

  • Identify, analyze and resolve learner issues
  • Co-ordinate, compile and oversee attendance registers
  • Co-ordinate, compile and oversee replacements
  • Manage learner performance and disciplinary processes

 

  1. Administration of Learner Progress

 

  • Administrate client feedback reports and deadlines
  • Track attendance and learner issues and co-ordinate with the relevant department to achieve resolution
  • Management and collection of all Portfolios of evidence for assessment and verification purposes
  • Administration of learner certification

 

  1. Induction

 

  • Induction of learners on specific contract requirements and allocated intervention
